Docex moves about 90000 items (envelopes) on a daily basis, which makes it impossible for our staff to record every envelope. For this reason has Docex introduced the Customer Information System (C.I.S) to it's members.
 
The system is a thin-client application that is totally Internet based. This in effect means that all points link into the Internet, with the application software residing in the mainframe computers of our service provider.

Some of the major benefits of this system are:
  • All bar coded items are tracked throughout the delivery cycle.
  • No costly software required by our members.
  • All data is "live" and up to date.
  • Hardware limitations are eliminated i.e. no costly upgrades.
  • Getting members or any other points onto the system is a simple exercise.


Once a member has joined the CIS network and received their bar codes, all mail with bar codes will be tracked at Docex resulting in NO MORE LOST MAIL!
 
  • A computer is not required.
  • Attach your bar codes to the documents you would like tracked. All scanning takes place at Docex. (N.B. The bar codes are in duplicate, one for the outside of the envelope and the other for your file copy.)
  • All queries are done via the new Docex Call Centre.
  • We track your mail as single documents.
  • Enables you to query (by contacting Docex) the progress and delivery date and time.
  • Enables you to receive electronic P.O.D. to all points with location bar codes.
  • Enables you to receive faxed or Docexed reports on a weekly or monthly basis.
  • A computer with Windows and Internet access is required.
  • The Internet enables you to select the destination for an item as well as to register your dispatch.
  • Docex will know the item is coming and be proactive.
  • Attach your bar codes to the documents you want tracked. All scanning takes place at Docex. (N.B. The bar codes are in duplicate, one for the outside of the envelope and the other for your file copy.)
  • Enables you, the member, to track and find your own mail "on-line".
  • Queries can be done directly via the Internet. (Live - 30 minute delay) or via the new Docex Call Centre.
  • Enables you, the member, to print out P.O.D.'s and reports at will.
  • Enables members to extend the system by linking it up with their own internal systems.


When a member joins the C.I.S. -
  • The member receives a security code, password and is registered.
  • The member receives one or more rolls of barcodes, each of which are registered to the member and the member's security codes.
  • Only the member can "log in" with his own code and only bar codes that are registered to that member may be queried.
  • Only data linked to their specific bar codes is visible to the member.
  • Only the member and the recipient can view the member's information (if so entered).
 

All bar code items are sorted and handled separately i.e. separate bags, etc. are used and a bag code attached to the bag.
 
 

There are a number of large Companies that have their own barcode types e.g : SARS , ABSA , NCOR.
  • A standard bar code - this bar code is a duplicate. One part is placed on the envelope and the other is kept by the member to identify what was in the envelope, e.g. placed on the filing copy of the letter on invoice.
  • Zipper bag codes - these bar codes are affixed to bags or plastic pockets that carry other bar coded items.
  • Location bar code - this bar code is registered to a specific member, delivery point, branch or exchange and is then affixed at that location. The driver scans this when he delivers to prove delivery of the document.
